Function Overview
Logistics settings are the core configuration for OneWarehouse when processing orders. Through this feature, you can:
- Manage Logistics Channels: Enable or disable specific logistics channels and adjust the logistics matching priority by dragging to reorder.
- Automatic Logistics Matching: When orders from upstream sales platforms are synchronized to OneWarehouse, the system can automatically match the appropriate logistics channels in the warehouse based on order platform, logistics text, shipping address, product SKU, or recipient postal code information.
Currently, logistics matching rules offer two modes: "System Default" and "Custom." Custom rules further support:
- Character Matching
- Order Shipping Address Matching
- Order Product SKU Matching
- Order Recipient Postal Code Matching
Important Notes
Before starting the setup, please note the following limitations and rules to avoid mismatches after configuration:
⚠️ Matching Rules Limitations
Channel Limitations: Not all logistics support "Custom Matching Rules." Logistics that do not support custom rules can only use system default rules.
Single Rule Type: For the same logistics channel in custom mode, only one rule type can be selected at a time; combining multiple rule types such as "Address + SKU" is not allowed.
Matching Scope Required: When using custom rules, at least one applicable sales platform must be selected.
⚠️ Configuration Specifications
The system only matches logistics channels that are enabled in the warehouse to which the order belongs.
The system matches according to the order in the "Logistics Settings" list, from top to bottom. The first successfully matched logistics channel will be the final logistics for the order; matching stops afterward and will not continue down the list. Therefore, if multiple logistics rules may match the same order, please adjust the logistics order to set priority.
⚠️ Character Matching Configuration Specifications
- A single logistics channel can set up to 20 matching codes.
- Each matching code has a maximum length of 64 characters.
Basic Operations: Enable and Sort Logistics
This step determines which logistics channels can participate in automatic matching for orders and the matching priority when multiple logistics meet the conditions simultaneously.
- Go to Settings > Logistics Settings.
- Enable/Disable: Click the "Status" toggle switch to the right of the logistics name to enable or disable that logistics channel.
- Adjust Order: Hold the drag icon (::) on the left side of the logistics name and drag up or down to adjust the logistics order.
Advanced Operations: Logistics Matching Rules Setup
After enabling and sorting logistics, you can further configure the rules for automatic logistics matching for orders.
Step 1: Enter Edit Mode
On the 〖Logistics Settings〗 page, find the logistics channel you want to configure and click the edit icon next to "Logistics Matching Rules."
- "System Default"
- "Custom"
Step 2: Choose Matching Method
Depending on your business needs, you can choose "Custom" or "System Default."
A. Custom Matching ✨ Recommended
Custom matching is suitable for scenarios where system default rules cannot meet actual business needs. You can first limit the platforms to which the rules apply, then select the specific matching rule type.
1. Set Matching Scope
"Matching Scope" is used to specify which sales platforms the current custom rule applies to.
You can multi-select from the currently integrated platforms, such as SHOPLINE, SHOPIFY, TIKTOK, SHOPEE, OPENAPI, etc.
The system will first determine whether the order source platform is within the selected "Matching Scope." Only if the platform matches will the system continue to evaluate the subsequent rule content.
For example:
- Matching Scope: SHOPIFY
- Rule Type: Character Matching
- Matching Code:
Express
Only orders coming from SHOPIFY will continue to be matched using Express; orders from other platforms will not match this rule.
The matching scope cannot be empty; please select at least one sales platform.
2. Select Rule Type
In custom mode, you can choose one of the following four rule types:
(1) Character Matching
Suitable for matching OneWarehouse logistics based on the logistics name or logistics text transmitted from the upstream sales platform.
After selecting "Character Matching," you need to set the "Matching Method" and "Matching Code."
| Matching Method | Logic Explanation | Example Demonstration |
|---|---|---|
| Exact Match | The upstream logistics name must be exactly the same as the code you set (character by character). | Set Code: "Black Cat Refrigerated" ✅ Upstream Name: "Black Cat Refrigerated" (Success) ❌ Upstream Name: "Black Cat" (Fail - different number of characters) |
| Partial Match | The upstream logistics name only needs to contain the keyword you set to match. | Set Code: "Black Cat" ✅ Upstream Name: "Black Cat Refrigerated" (Success) ✅ Upstream Name: "Black Cat Ambient" (Success) |
Steps:
- Select "Character Matching" as the rule type.
- Choose "Exact Match" or "Partial Match"; the default is "Partial Match."
- Enter the name or keyword you want to recognize in the "Matching Code" field.
- After entering, press Enter or click "Add"; the added codes will be displayed below.
- If multiple names need to correspond to the same logistics, you can continue to add multiple matching codes.
(2) Order Shipping Address Matching
Suitable for automatically assigning orders to specified logistics based on the order's shipping country/region, province/state, or city.
For example:
- US orders use USPS;
- European orders use DHL;
- Specific provinces or cities use designated regional logistics.
Steps:
- Select "Order Shipping Address" as the rule type.
- Click 〖Select Address〗.
- In the "Select Shipping Address Range" window, choose the shipping areas that the logistics can match.
- Click Confirm to return to the logistics matching rules setting page.
Addresses can be selected according to the following hierarchy:
Continent → Country/Region → Province/State → City/Area
You can select an entire country/region directly or further refine to province/state or city/area.
When using the "Order Shipping Address" rule, at least one shipping address range must be selected.
(3) Order Product SKU Matching
Suitable for scenarios where some products require automatic use of designated logistics due to category, volume, or transportation attributes.
For example: products containing batteries use logistics that support battery transport; large items use designated large-item logistics.
Steps:
- Select "Order Product SKU" as the rule type.
- Click 〖Select Products〗 and choose the products to participate in matching.
- Set the "Matching Condition."
- Confirm the selected products and save.
"Matching Condition" offers the following three options:
| Matching Condition | Logic Explanation |
| Order contains any selected SKU | The order's products contain any one of the selected SKUs to match |
| Order contains all selected SKUs | The order's products must contain all selected SKUs to match |
| All order products are within selected SKUs | All products in the order must belong to the selected SKU range; no products outside the rule are allowed |
For example, the rule selects SKU-A and SKU-B, and the order products are SKU-A and SKU-C:
- "Order contains any selected SKU": ✅ Match
- "Order contains all selected SKUs": ❌ No Match
- "All order products are within selected SKUs": ❌ No Match
Notes on Bundled Products:
- If the rule selects regular product SKUs, bundled products will be split into sub-products for evaluation.
- If the rule selects bundled product SKUs, the order must actually contain the bundled product's parent SKU to match.
- Purchasing sub-products of a bundled product alone will not match the bundled product SKU in reverse.
If products included in the rule are later disabled or deleted, the page will show an abnormal warning; those abnormal SKUs will not participate in subsequent matching. Please check and remove abnormal products promptly according to page prompts.
(4) Order Recipient Postal Code Matching
Suitable for scenarios requiring fine division of logistics service areas based on the order recipient's postal code, such as remote postal codes, special service coverage postal codes, or different logistics used for different postal codes within the same city.
Currently, the "Order Recipient Postal Code" rule only supports exact matching.
Steps:
- Select "Order Recipient Postal Code" as the rule type.
- Enter the postal codes to match in the "Recipient Postal Code" input box.
- The system will automatically parse the input and display the parsed postal code conditions below.
- If there are abnormal postal codes, click 〖View Abnormal〗 to locate and modify them.
- Save after confirming no abnormalities.
Supports the following input formats:
- Single postal code:
10000 - Postal codes containing letters or spaces:
SW1A 1AA - Postal codes containing hyphens:
01111-2222 - Multiple postal codes: can be separated by Enter, English comma, or Chinese comma
- Continuous numeric postal code range:
10000~10008
Continuous postal code ranges only support pure numbers; the start and end postal codes must have the same length, and the start value cannot be greater than the end value.
For postal codes like 01111-2222, if your business only needs to use the first segment before the - for matching, you can check "Match the data before '-' in the order postal code with the data below." When enabled, the system will use 01111 for rule evaluation.
This option is unchecked by default. Some countries/regions have standard postal codes that include hyphens; please use according to your actual business needs.
Step 3: Save Settings
After completing the rule settings, click 〖Confirm〗 or the corresponding save button on the page to finish the setup.
When orders are synchronized to OneWarehouse, the system will:
- Read the enabled logistics channels in the warehouse to which the order belongs;
- Evaluate each logistics channel from top to bottom according to the order in the "Logistics Settings" page;
- Execute matching for each logistics channel based on its current "System Default" or "Custom" rules;
- The first matched logistics will be the final match result, and matching will stop afterward;
- If no logistics match, the order will be processed according to the existing exception process, possibly showing "Logistics channel cannot be identified."
❓ Frequently Asked Questions
Q: Why does my order keep showing "No Logistics" or "Logistics Channel Cannot Be Identified"?
A: Please check the following in order:
- Whether the corresponding logistics channel is enabled in OneWarehouse;
- If using custom rules, whether the order source platform is included in the "Matching Scope";
- Whether the current logistics setting is "System Default" or "Custom" rules;
- If using character matching, whether the upstream logistics text meets the "Exact Match" or "Partial Match" requirements;
- If using address, SKU, or postal code rules, whether the actual order information meets the set rule conditions;
- Whether product SKUs have been disabled or deleted, or whether there are abnormal data in postal code rules;
- If multiple logistics may match simultaneously, check if the logistics order matches your expectations.
If none of the enabled logistics match, the system will not automatically assign logistics.
