Overview
Inventory Sync Frequency determines the rules and timing for pushing inventory updates from the OW system to your upstream e-commerce platforms. To ensure data accuracy, timeliness, and optimal system performance, we offer two synchronization modes: Inventory Incremental Sync and Scheduled Full Coverage.
Sync Modes Explained
A. Inventory Incremental Sync (Trigger-based)
Definition: When inventory increases (e.g., purchase arrival, return, adjustment), the system immediately pushes the added quantity to your shops based on your allocation rules. Best For: Businesses requiring high-frequency restocking and fast inventory turnover. Note: This mode is only triggered by inventory increases. Stock reductions caused by sales or transfers will not trigger a sync (as platforms typically handle sales deductions themselves).
Detailed Trigger Rules:
| Scenario | Frequency & Rule Description |
|---|---|
| Purchase Inbound |
Real-time Trigger Triggered immediately each time a purchase order is received and stored. |
| Return Inbound |
Triggered every 72 hours The system consolidates return data for the same SKU across different return orders and warehouses over a 72-hour period, then allocates and syncs it. (Note: The 72-hour timer starts when you enable the function. If you toggle the feature off and on, the timer resets.) |
| Inventory Adjustment | Real-time Trigger |
B. Scheduled Full Coverage (Schedule-based)
Definition: During a specific daily time slot, the system syncs the total available inventory for items that had inventory changes in the previous day, overwriting the platform's existing data. Best For: Businesses with significant offline orders or those relying solely on the OW system for inventory data integrity.
Time Slot Details:
Available Slots: You can choose one of four slots:
00:00~06:00,06:00~12:00,12:00~18:00, or18:00~24:00.Data Snapshot: If you select
00:00~06:00, the system takes a snapshot of the inventory quantity at exactly00:00.Execution Time: The push starts at
00:00. If the SKU count is large, the process may continue until06:00.Special Note: If new stock arrives during the sync execution (e.g., between 00:01~06:00), this new inventory will be updated in the next day's scheduled task.
Detailed Trigger Rules:
| Scenario | Action & Frequency |
|---|---|
| Inventory Changes |
Syncs Changed Items Only During the scheduled slot, the system checks for stock increases or decreases. If an item's stock has not changed, it is skipped. If it has changed, the latest total is synced to overwrite the platform data. |
3. Which Mode Should I Choose?
Use the comparison table below to decide the best fit for your business:
| Feature | Inventory Incremental Sync | Scheduled Full Coverage |
|---|---|---|
| Trigger Mechanism | Event-based (Inventory Increase Only) | Time-based (Fixed Daily Schedule) |
| Data Synced | Syncs newly added quantity only | Syncs total available stock (for items with changes that day) |
| Frequency | High (Real-time for purchases/adjustments) | Low (Once per day) |
| Ideal For |
Online-focused Business No offline order interference; relies on platforms to auto-deduct stock. You only need the system to update restocking info. |
Omni-channel / Offline Heavy Complex inventory movements. Requires a daily "calibration" to prevent overselling due to offline sales or damage. |
Important Notes
⚠️ Core Configuration Logic
Default Setting: When "Auto Inventory Sync" is enabled, the system defaults to [Inventory Incremental Sync].
Manual Sync: Clicking the "Manual Sync" button in the interface forces a one-time [Full Coverage] sync for all items.
⚠️ Limitations of "Inventory Incremental Sync"
Please note that Sales Outbound does not trigger a sync in this mode.
If your inventory decreases due to non-platform reasons (e.g., warehouse damage, offline pickup/wholesale), this mode will not inform the platform, potentially leading to phantom inventory (overselling risk).
Recommendation: If you have such scenarios, please use [Scheduled Full Coverage] or perform regular manual syncs.
Configuration Steps
Step 1: Enable Auto Sync
Go to [Settings] > [Shop Management], find the [Auto Inventory Sync] module, and toggle the switch to ON.
Step 2: Edit Sync Frequency
In the [Auto Inventory Sync] module, click the "Edit" button in the top right corner.
In the pop-up window, select your desired mode:
If you select Scheduled Full Coverage, you must also check the specific Time Slot (e.g., 00:00~06:00).
Mode Switching Compensation Mechanism : If you decide to switch the synchronization mode from "Scheduled Full Coverage" back to "Incremental Synchronization," the system will automatically trigger a full inventory compensation synchronization to ensure no inventory data is missed during the switch. If there is already a synchronization task running in the system at the time of the switch, the system will first forcibly terminate the current task (the unfinished part will be marked in the task center), and then start the full compensation synchronization to ensure the absolute accuracy of the store's inventory. —We strongly recommend that you select "Confirm ."
