Scene Description
This tutorial is designed for sellers who only have a single platform store (e.g., only one Shopline store). We will demonstrate through a specific case study (using Shopline as an example) how to complete the inventory synchronization settings.
Goal achieved:
Initial calibration : Immediately update the inventory of goods in the store to match the inventory in the OneWarehouse system.
Automated Updates : The system will automatically synchronize warehouse inventory to the sales floor according to your set synchronization frequency (e.g., triggered immediately upon receipt of goods, or executed on a daily schedule), ensuring data accuracy.
Key Precautions (Must Read Before Operation)
⚠️ System restrictions
Bundled products : The system does not currently support inventory sharing and synchronization for bundled products.
Gifts/Add-ons : Gifts and add-ons set in the SHOPLINE backend cannot be synchronized through OW. Please adjust them manually.
Unlimited Inventory : Do not select "Unlimited Quantity" in the SHOPLINE product settings , otherwise synchronization will fail.
💡 Best Practices
Initial Manual Synchronization (Crucial) : Before enabling automatic synchronization, be sure to perform a "manual inventory overwrite" once . This is because automatic synchronization usually only applies to changes, while manual overwrite is necessary to initialize and correct the current inventory.
Regular calibration : It is recommended to manually perform inventory synchronization regularly to eliminate data errors that may be caused by platform delays or system upgrades.
Demonstration conditions and objectives
To make it easier for you to understand, we have set up the following three product scenarios:

Detailed Operating Steps
Step 1: Set up inventory synchronization rules (brain configuration)
Please go to 【Store Management】 > 【Automatic Inventory Synchronization】 > click 【Set Synchronization Rules】 .
1. Select inventory allocation mode
If you only have one store, we recommend choosing the "Shared Mode" (of course, choosing the "Exclusive Mode" will have the same effect).

2. Configure "General Rules" (for 05106 )
In the General Rules area, find your SHOPLINE store and set the percentage to 50% .
Meaning : For all products not specifically designated, 50% of the available warehouse inventory will be pushed to the store.
3. Set "Custom Rules" (for 05019 )
For products with special proportions, we need to set additional settings:
Click "Add Rule" .
Search for and select 05019 .
Set a rule name (e.g., Special Items 25%) and set the percentage to 25% .
Click "Submit" .
4. Set "No need to sync products" (for 01934 )
For products that do not require system-managed inventory:
Click "Add Product" .
Search for and select 01934 .
Click "Done" .
5. Enable the feature
After confirming that the above rules are correct, turn on the "Automatic Inventory Synchronization" switch in the upper right corner of the page and click "Save" .
Tip: Don't forget to click the "Edit" button to set your synchronization frequency (incremental inventory synchronization or scheduled full coverage).
Step 2: Perform initial manual synchronization (critical action)
Go to [Inventory] > [Inventory Management] > Click on [Manual Inventory Overwrite] in the upper right corner .
- Confirm Rules : The window will display the rules you set in Step 1. Just click "Next" .
Inventory calculation :
Inventory source: Preset to total inventory.
Options: Select whether to "reduce occupied inventory", "reduce frozen inventory" or "defective products" as needed.
- Click on "Submit the task" .
Step 3: Inspection Results
Wait for the task to complete (you can check the progress in the Task Center).
Go to [Inventory Management] > Click [Inventory Synchronization Records] .

You should be able to see:
05106 successfully updated to 6.
05019 was successfully updated to 1.
No synchronization record was generated at 01934 .
