1. Function Overview
As your business expands, a single warehouse may not be able to meet your shipping needs. OneWarehouse's "Multi-Warehouse Feature" allows merchants to connect and manage multiple physical warehouses using a single account.
You can prepare goods in different warehouses as needed. The system can help you intelligently allocate orders to speed up fulfillment and reduce logistics costs.

2. Precautions
- The function is off by default: Multi-warehouse settings are off by default. If you need to connect multiple warehouses, you need to enable it in the settings and complete the "Warehouse Priority Sort" process.
- Inbound order restrictions: An inbound order can only be sent to "one" warehouse. When creating an inbound order, please be sure to confirm the target warehouse for the goods to be stored in.
- Logistics channel binding: Logistics channels are bound to warehouses. If an order is not assigned a warehouse, it will not be able to match the corresponding delivery method.
3. Basic Settings: How do I view and manage my warehouse?
Go to [Settings] > [Shipping Settings] > [Multi-Warehouse Settings] , and you can view all connected warehouses in the "My Warehouses" section.
- "In Use": This indicates that the warehouse is ready for inbound and outbound operations.

Discontinued: This means that the warehouse is currently not in service or has been disconnected.
4. Inbound operations: How to send goods to the designated warehouse?
When you need to send goods to the warehouse:
- Single entry creation: In the interface for creating an inbound order, you must select the target warehouse from the drop-down menu in the "Send to Warehouse" field.
- Batch import: After downloading the import template, please enter the correct warehouse name in the "Warehouse" field of the form.
5. Outbound operations: How are orders allocated to different warehouses? (Important)
Orders synchronized from upstream retailers must be assigned to a warehouse before subsequent shipping operations can proceed. The system offers two modes: "manual selection" and "automatic warehouse selection".
Mode A: Manually select warehouse
- 2. Mass Modification: Select multiple orders in the order list and use the "Mass Modification of Warehouse/Logistics" function.
Mode B: Automatic Portfolio Selection (Intelligent Recommendation) ✨
Once this feature is enabled, the system will automatically select the most suitable warehouse for the order.
- To enable this feature: Go to Settings > Shipment Settings > Multi-Warehouse Settings > Select "Go to Enable" and set the priority, then select "Save".
🧠 The core logic and priorities of automatic position selection
When automatically selecting warehouses, the system performs rigorous comparisons, pitting two warehouses against each other until the most suitable one is chosen. The comparison order is as follows:
Phase 1: Rule Filtering
- 1. Exclude warehouses that are not participating: Warehouses that you set to "not participate in automatic warehouse selection" will be excluded directly.
- 2. Custom Rules Priority: The system will prioritize checking whether the order matches your set "Custom Rules" (e.g., specific products are forced to be assigned to a certain warehouse). If it matches, the system will only filter the warehouses that match the custom rules; if it does not match, the "General Rules" will be executed.
Phase Two: Inventory and Logistics Comparison (PK Phase) The system mainly focuses on two dimensions: "Inventory Satisfaction Rate" and "Logistics Matching Degree" .
- Inventory fulfillment rate calculation = Total available inventory in the order / Total number of items in the order (maximum 100%)
The system will determine which warehouse will ultimately ship the goods based on the following four priorities :

| Priority 1 (ideal) | Higher satisfaction rate + better logistics matching | Prioritize warehouses with the most abundant inventory and logistical support. If multiple warehouses have the same fulfillment rate and matching logistics, select the one with the higher "warehouse priority" setting. |
| Priority 2 | Higher satisfaction rate + mismatch in logistics | Even if the logistics provider doesn't support it, the system will still choose the warehouse with the highest fulfillment rate in order to ship more goods. (You will be notified later if the logistics provider is unsuitable and you need to manually select a different logistics provider.) |
| Priority 3 | Same satisfaction rate + matching logistics | When multiple warehouses can ship the same amount of goods, prioritize the warehouse whose logistics can provide perfect support. |
| Priority 4 | Same satisfaction rate + mismatched logistics | If logistics from all warehouses are unavailable, the system will rely solely on inventory fulfillment rates. If all fulfillment rates are the same and greater than 0 , the warehouse will be selected according to your set "warehouse priority order." If all warehouses have a fulfillment rate of 0 (completely out of stock), the system will leave the warehouse empty and generate a pending exception: "Shipping Warehouse Confirmation." |
💡 Simply put: The system's guiding principle is "first check who has the goods (inventory fulfillment rate), then check who can deliver (logistics matching), and finally check the merchant's preferences (warehouse priority ranking)."
Note: If you have manually edited the warehouse or logistics of an order, the system will respect your manual settings and will not automatically overwrite them.
6. Inventory Management: How should inventory be displayed across multiple warehouses?
The same product (SKU) can be stocked in different warehouses at the same time, and the system will calculate them separately and independently.
Inventory Display : In the [Inventory Management] list, if the same product is in stock in two warehouses, it will be displayed as "two separate entries". You can use the "Warehouse" filter above to view the inventory status of a specific warehouse individually.
