1. Function Overview
"OneWarehouse's automatic order blocking feature" is an automated order management logic for orders from connected SHOPLINE, SHOPEE, and Shopify platforms.
When a consumer cancels an order, and the "order status" on the platform is confirmed as "cancelled," the system will intercept orders that are "pending shipment" and have not yet been picked up by the warehouse.
This feature aims to replace manual order status checks with automation, ensuring the timeliness of interception while improving order processing efficiency for merchants operating across multiple platforms, and avoiding resource waste and customer complaints.
Notice:
- If the system is unable to intercept the order, but the consumer has actually cancelled it, please assist in confirming with the customer success consultant/warehouse whether shipment can be stopped.
- For orders canceled on the platform and awaiting shipment, the system will automatically attempt to execute the interception command three times to prevent failure due to momentary network fluctuations . However, please note that if the warehouse has already entered the picking and packing stage, multiple attempts by the system may still result in interception failure. Therefore, you will need to contact your online consultant/warehouse in such cases.
2. System Logic and Processing Method
After receiving a "cancellation status" from the platform, the system will determine whether orders in the OneWarehouse system that are in the "pending shipment" stage have entered the warehouse's "picking operation status" and take different processing strategies accordingly:
| Warehouse operation progress | Progress determination instructions | Automated processing results |
No work yet (System display: Interception successful) | The order is shown as "pending shipment" on OneWarehouse, but warehouse staff have not yet actually arranged picking or other operations. | ✅ Interception successful and return 1. The system successfully intercepted the order. 2. Orders will be automatically returned to the "Pending" list. 3. Automatically release the product inventory occupied by this order. 4. The order is marked with an error message: "Platform order cannot be shipped (platform order has been cancelled)" . |
Order picking operation has been completed. (System display: Interception failed) | The order is shown as "pending shipment" on OneWarehouse, but the warehouse has actually entered critical stages such as picking or packing that cannot be interrupted. | ❌ Interception failed and warning issued 1. System interception failed (such orders are not allowed to be forcibly cancelled by the system). 2. Trigger an in-site alert notification . 3. If email notifications are enabled, an email will be sent simultaneously to remind the merchant to conduct offline manual interception. |
3. Notification Interception Settings Instructions
To ensure you can intervene immediately if an interception fails, the system provides an instant email notification. This feature is disabled by default ; we recommend you enable it by following these steps:
Startup steps
1. Go to [Settings] > [Notification Settings] > [Instant Notifications] .
2. Click the "Automatic Blocking" option at the bottom of the page, and switch the switch to "On" .
Letter notification example
Once enabled, you will receive the following notification email when an order is automatically blocked by the system due to platform cancellation (regardless of success or failure):
Subject of the letter: Notification of OneWarehouse cancellation of shipment interception results
Letter content:
Dear {Business Name} Hello!
We noticed that the order: {order number} triggered automatic interception due to {interception reason}. OW executes "Interception Shipment" simultaneously {processing result}, please go to the OW system to view the processing.
Wish you a happy life! Good work!
