Functional Description
Onewarehouse has added a new “Gift” function. You can add free gifts when creating or editing orders; you can also set up free gift rules in advance, and when synchronizing or importing orders, the system will automatically match free gifts with orders that meet the conditions, thus realizing personalized marketing.

Precautions:
- The giveaway function in OW is completely independent, it is not associated with the platform's giveaway function. If you have already set up a giveaway in the platform, in order to avoid duplicating the additions of giveaways, please do not set it up in OW again!
- Orders created manually in OW will not automatically match the giveaway and will need to be added manually.
- General merchandise is prioritized over giveaways for inventory occupancy
- Gifts will participate in volume checking and inventory occupancy like ordinary goods when shipping, and out-of-stock will be reported as an exception that cannot be shipped.
- Auto-matching gifts do not support adding [combination products] as gifts, if you need to add [combination products] as gifts, please add them manually.
- An order will only be matched once when synchronized or imported, editing, splitting, merging, copying, etc. will not trigger the matching again, but will keep the existing gifts.
- Orders can be shipped even if there are only gifts in the order
【Manually add giveaways】operation steps
Step1
OW [Create Order] or [Edit Order] screen:
- Click “Add Gift” in the “Product Information” section, enter “Unit Price” and “Quantity” to add a gift.
- Click the Delete button to delete the gift.
The [Giveaway] tab will appear for added giveaways
Note: The currency of the free gift will be consistent with the first item. If not, the system will convert the currency and amount of the gift to the currency and amount of the order according to the real-time exchange rate.
Step2
After all the information is edited, click “Save”, the system prompts [Created Successfully] and returns to the [Pending] page, then the creation or editing of the gift order is completed.
In [Order Management] you can filter the orders containing gifts by [Order Label].
【Order Auto Matching Gift】Operating Procedure
Step1 Setting the rules for giveaways
Go to [Settings] > [Additional Functions] page, click “Go to Settings” of [Automatically Add Giveaway Rules], and the system will jump to [Giveaway Rules Interface].
If you have not yet created a rule, you will need to tap “Create Rule” to complete the rule creation. If you need to know the specific rules for creating a rule, see Understanding Giveaway Rules for details
If you have already created a rule, turn on the rule status to make the giveaway rule effective immediately, or continue to create a rule. To continue creating rules, click “+Create Rule” in the upper right corner.
The created rules support priority sorting, click “Rule Priority Setting”, drag the order to sort in the pop-up window, and click “Finish” after adjustment.
Note: Orders will be matched in order of priority from top to bottom, once the conditions of a rule are met, the matching process of subsequent rules will be stopped, and only one complimentary match will be executed for an order
Step2 Synchronize/Import Orders
Giveaway rules apply to orders pulled/synchronized from upstream platforms, orders imported in bulk, orders created via OPEAPI
After the order is successfully imported, the system will automatically match according to the set gift rules, orders that meet the rules will be automatically added to the gift, the type of order will automatically increase the 【Gift】 label
[Gift Order] Operating Instructions
Update Orders
Go to [Orders] > [Order Management] pending list, select the order and execute “Update Order”. The system will pull the latest order information from the upstream platform and re-match the gifts according to the current “Gift Rules”, and all gifts in the order (including manually-added gifts) will be overwritten by the latest matching results:
- If a new giveaway is matched, it will be replaced with the new giveaway after update
- If the giveaway rule cannot be hit, the order is updated with no giveaway
Combine Orders/Cancel Combined Orders
Select the order and perform “Merge Order” on the order, and the freebies will be merged as well as the regular items, and the merged order will be labeled with both [Merge] and [Freebies]:
- If there are no identical gifts in the order before merging, the gifts will be displayed in separate rows after merging.
- If there is the same free gift in the order before merging, the quantity will be added up when merging, and the price will take the average unit price of the free gift.
- The SKUs of general merchandise and free gifts are the same, but they will not be displayed together.
Consolidated orders containing free gifts can also be un-consolidated, by executing “Cancel Consolidated Order” on the consolidated order, the order will be completely restored to its pre-merge status.
Split Orders and Cancellation of Split Orders
When splitting orders for gifts, the gifts are split according to the same as ordinary goods, and can be split out separately, and the split order will be marked with [Gifts] if it contains gifts.
Canceling a split order will reset the parent order to its pre-split status, deleting all child orders.
Modify Product
You can't “replace products”, “add products” or “delete products” by batch operation. If you want to edit the free products of an order, you need to click into the order editing interface to modify them one by one.
Order Dispensing
Giveaway orders can also be “dispensed”, and can only be dispensed successfully if the inventory is fully satisfied
Note: If the status of “Partial Dispatch” is caused by “Execute Shipment”, you need to release the pre-positioned inventory before you can edit the order.
