1. Function Overview
The "Multi-Warehouse Function" of OneWarehouse allows merchants to connect and manage multiple physical warehouses under a single account. To activate the multi-warehouse service, please contact your sales representative or online consultant first.
For orders created by sales platforms or OpenAPI that have not yet been assigned a shipping warehouse, you can:
- Manually specify the shipping warehouse;
- Enable "Automatic Warehouse Selection," where the system selects a warehouse based on delivery area, inventory, and warehouse priority order.
2. Important Notes
- At least two active warehouses are required
If there is only one active warehouse, the multi-warehouse configuration will not be displayed on the page; once multiple warehouses are active again, please recheck your automatic warehouse selection settings. - Automatic warehouse selection is off by default
To enable automatic warehouse selection, at least one strategy factor must be turned on, and at least one warehouse must participate in the automatic selection. If no warehouses participate, the automatic warehouse selection settings cannot be saved. - Only active authorized warehouses can be selected
Deactivated warehouses no longer support the creation of new inbound or outbound orders, but historical inventory and transaction records can still be queried. - One inbound order can only specify one warehouse
When creating an inbound order, please confirm the target warehouse where this batch of goods will be sent. - Logistics channels are linked to warehouses
Automatic warehouse selection considers logistics matching. If a warehouse does not support the logistics required by the order, it may still be selected due to higher inventory fulfillment rate, but you will need to reselect an available logistics option afterward. - The system will not override already specified warehouses
If a warehouse has already been assigned to an order by the system, manual editing, or bulk operations, the system will not perform automatic warehouse selection again to overwrite this setting.
3. How to View and Manage My Warehouses?
Go to Settings > Shipping Settings > Multi-Warehouse Settings to view the warehouses currently connected to your merchant account.
Warehouse information includes:
- Warehouse name and supported temperature zones
- Status: Divided into "Active" and "Deactivated" (deactivated warehouses no longer support creating new inbound or outbound orders but do not affect historical data queries).
- Warehouse address: Displays the full detailed address at all levels.
(Note: When you have only one active warehouse, the system will notify you that multi-warehouse service is not yet activated. Detailed multi-warehouse settings are displayed only when multiple warehouses are active.)
4. Automatic Warehouse Selection Setup
After enabling automatic warehouse selection, the system will automatically pick the most suitable warehouse for orders. Enable path: Settings > Shipping Settings > Multi-Warehouse Settings > Click “Enable” or “Settings.”
4.1 Core Strategy Factors Execution Order
The system provides the following two strategy factors, which merchants can independently enable or disable according to operational needs. When performing automatic warehouse selection, the system will match based on the enabled strategies. If both strategies are enabled, the system will strictly execute them in order from ① to ②; if only one is enabled, only that active strategy is executed.
⚠️ Failure Handling Mechanism for Warehouse Selection: If after applying all enabled strategies, no warehouse meets the criteria (none selected), the automatic warehouse selection for that order will fail. The system will leave the warehouse field empty and generate an exception issue (Shipping Warehouse Confirmation). At this point, you must manually assign a warehouse or review and adjust your automatic warehouse selection strategies.
① Delivery Area Matching Strategy (Hard Filter)
- Logic: The system retrieves the order’s recipient address and compares it with each warehouse’s configured “deliverable areas.” Warehouses that do not cover the recipient location will be excluded and not participate in subsequent warehouse selection.
- How to set:
Step 1 Warehouse selection strategy: Delivery Area Matching Strategy, set status to enabled
Step 2 Click “Delivery Area” on the right side of the warehouse list
Step 3 Supports precise control down to continent → country/region → city → district levels. (Selecting a higher-level node includes all subordinate areas.)
② Inventory Priority Strategy (Inventory and Logistics Matching)
Among warehouses filtered by delivery area, the system makes a decision based on “inventory fulfillment rate (total available inventory for the order ÷ total order quantity)” and “logistics matching degree”:

4.2 Priority local fulfillment (Reduce Cross-Border Logistics Costs)
If your warehouse delivery areas include regions outside the warehouse’s local area (possible cross-border shipping) and there are overlapping delivery areas, the interface will show a “Priority local fulfillment” setting.
- Logic: When enabled, under the premise of satisfying all the above strategy factors, if the order’s recipient country/region matches the warehouse’s country/region, the system will prioritize assigning that local warehouse for shipping, overriding the original priority.
(Note: If multiple local warehouses meet the condition, internal sorting follows the “warehouse priority” below.)
4.3 Warehouse Priority Sorting (Fallback Rule)
In the automatic warehouse selection settings list, you can drag and drop to reorder the warehouses participating in automatic selection.
- Toggle switch: Indicates whether the warehouse participates in automatic selection.
- Drag and drop sorting: The higher the warehouse is in the list, the higher its priority. When multiple warehouses perform identically across strategy factors (such as inventory and logistics), the system uses this order as the final basis for warehouse assignment.
(Note: Deactivated warehouses cannot be reordered in priority.)
5. Outbound and Inbound Operations
5.1 Inbound Operations: How to Send Goods to a Specified Warehouse?
Create Inbound Order Individually
On the inbound order creation page, select the target warehouse for this batch of goods in the “Sending Warehouse” field.
Bulk Import of Inbound Orders
After downloading the import template, fill in the correct warehouse name in the “Warehouse” column. Please ensure the name matches the warehouse name in the system exactly.
5.2 Outbound Operations: How to Handle When Automatic Warehouse Selection is Disabled
If you choose to “Disable Automatic Warehouse Selection,” each order requires manual assignment:
- Single order modification: Edit and select the warehouse directly in the order details.
- Bulk modification: Select multiple orders in the order list and use the “Bulk Modify Warehouse/Logistics” function.
💡 System Optimization Reminder (Automatic Store Information Completion): For orders matched with “Store Delivery” or “7-11 Cross-Border” logistics after automatic warehouse selection, the system will automatically connect to the address database to query and fill in the latest convenience store name and detailed address, ensuring smooth fulfillment. (Note: If you have manually edited the order’s warehouse or logistics, the system will fully respect your manual settings and will not overwrite them automatically.)
6. Inventory Management: How is Multi-Warehouse Inventory Displayed?
The same product (SKU) can be stocked simultaneously in different warehouses, and the system calculates inventory separately for each.
- List display: In the Inventory Management list, if the same product is stocked in two warehouses, it will appear as “two separate entries.” You can use the “Warehouse” filter above to view inventory status for a specific warehouse alone.
- Details and export: Search for a specific SKU to clearly see inventory differences across warehouses. Select the SKU and click “Export” to view historical inventory transactions.
